Patient reactivation: your existing base fills the chairs

Hundreds of your past patients are due for hygiene or a check-up — and nobody writes to them. We set up polite, personal recall reminders that bring them back, with zero ad spend.

Patient Reactivation for Dental Clinics

Personal, well-timed, with a concrete offer and two-tap booking — recall that reads like care, not spam.

How patient reactivation works

Every dental clinic sits on a quiet asset: its own patient base. Hygiene is
due every six months, crowns and fillings age, treatment plans get abandoned
halfway — but the front desk has no time to chase anyone. A reactivation
system does it automatically: it segments the base by procedure and due date,
sends a personal reminder on WhatsApp or SMS, offers slots and books the
patient in.

Segments, messages, schedule

Together with your team we mark the segments: due for hygiene, due for a
check-up, unfinished plans, long-dormant patients. Each segment gets its own
message — by name, referencing their history, in a tone of care rather than a
mailing list. The schedule is gentle: one reminder, one polite follow-up a
week later, and a hard stop for anyone who opts out. Setup takes a week and
works with an export from any practice software, or a plain spreadsheet.

The economics

Reactivated patients cost nothing to acquire — they already know the clinic
and trust the dentist. A first wave typically returns ten to fifteen percent
of dormant patients: for a base of five hundred, that is fifty to seventy
bookings from one week of setup. After that the system runs in the
background, reminding each patient as their date comes due, while you watch
the monthly numbers.

What it does
Who to remind and when
Hygiene every six months, annual check-ups, unfinished treatment plans — each segment gets its own message at its own time.
Care, not marketing
Messages read like your front desk wrote them: by name, referencing the last visit, with an easy opt-out.
From reminder to chair
The patient replies, the assistant offers slots and books. Your front desk sees a confirmed appointment.
You see the money
Reminders sent, patients returned, revenue booked — in one monthly report.

Common questions

-
Will patients find it annoying?

One polite, relevant reminder every six months reads as good care. We only message patients who are actually due, and every message has an opt-out.

+
Our records are in a spreadsheet

A spreadsheet or any PMS export works. We help clean it up as part of setup.

+
What does it cost?

Setup from $390 and from $150/month. A first wave typically returns 10-15% of dormant patients — count that in visits.
